How a Minneapolis HVAC Owner Won a City Contract With Professional Quotes

The Story

Patricia H. wanted to grow her HVAC business in Minneapolis beyond residential work. Commercial contracts — office buildings, apartment complexes, city facilities — were where the real money was. But she kept losing bids.

"I submitted three bids to the city for HVAC maintenance contracts. All rejected. A contact at city hall told me off the record: 'Your bid was competitive but your documentation looked amateur. We need vendors who look organized.'"

Patricia was submitting bids as Word documents she'd format herself. No consistent branding, no license info, no terms and conditions.

"I rebuilt my entire quoting process in JobsPaid. Professional header, itemized line items for each building, maintenance schedules, deposit terms, the works. It took me one afternoon."

She resubmitted for the next round of city contracts with the new format. She won two of three.

"The pricing was almost identical to my rejected bids. The only difference was how it looked. The city procurement officer told me my quotes were 'the most professional she'd received from a small contractor.' That's a direct quote."

The two city contracts are worth $48,000 annually. Patricia hired a fourth technician to handle the volume.

"I was one quote format away from a completely different business. That's humbling and frustrating at the same time."
