How to Run a 3-5 Person Crew Entirely Through JobsPaid

When you go from solo to a small crew, the biggest challenge is not the work — it is the coordination. Who is doing what job? Did someone send that invoice? Did the customer pay? JobsPaid's Team plan covers all of it.

Here is a complete daily workflow for a 3-5 person contracting business.

Morning: Dispatch the Day

1. Open Dashboard → Schedule → Week view
2. Check who has what job scheduled for today
3. Go to Team to confirm everyone is showing "Available"
4. For any gaps in the day, create new jobs and assign them

If a crew member calls in sick, open their jobs, tap Reassign, and move them to someone with capacity.

On the Job: Track in Real Time

When a crew member arrives on site, they open their job and tap Mark as In Progress. Their status on your Team page updates to "Busy" immediately.

If scope changes on site — more materials needed, extra hours, unexpected repairs — the crew member can update the job notes from their phone. If you require approval for scope changes, it appears in your queue before it is finalized.

After the Job: Invoice Immediately

When work is done:

1. Crew member taps Mark as Completed
2. Taps Create Invoice
3. Invoice pre-fills with the customer and job details
4. Submits for approval (if required) or sends directly

The goal: every completed job has an invoice sent the same day.

End of Day: Review the Queue

Open Approvals → Pending once at the end of the day. Review any invoices, quotes, or expenses submitted by your crew. Approve what is correct, reject what needs changes.

End of Week: Check Performance

Dashboard → Reports → Team shows the week's stats per person: jobs done, revenue generated, and how fast each person invoiced. This takes 2 minutes and tells you everything about how the week ran.
