Setting Quote Validity (Expiration Date)

Setting an expiration date on your quotes protects your business from price changes and helps customers make timely decisions. Think of it like putting a "good until" date on a coupon - it creates urgency and ensures your pricing stays accurate.

Why Set Quote Validity Dates

When material costs change or your schedule fills up, you want your quotes to reflect current pricing and availability. An expiration date gives customers a clear deadline while protecting you from honoring outdated prices weeks or months later.

Setting Your Quote Expiration Date

  1. Open your quote by tapping on it from the Quotes tab
  2. Look for the Validity Period section near the top of the quote
  3. Tap the Expiration Date field (it may show "No expiration" initially)
  4. Use the date picker to select when this quote should expire
  5. Choose a timeframe that works for your business - typically 30, 60, or 90 days
  6. Tap Save to apply the expiration date

Your quote will now display "Valid until [date]" at the bottom, so customers know exactly when they need to decide.

Setting Default Validity Periods

To save time on future quotes, you can set a default expiration period:

  1. Go to Settings from the main menu
  2. Tap Quote Settings
  3. Find Default Quote Validity
  4. Select your preferred timeframe (15, 30, 60, or 90 days)
  5. Tap Save

Now all new quotes will automatically include your chosen validity period, though you can still adjust individual quotes as needed.

Common Mistakes

Don't set expiration dates too short - give customers reasonable time to review and decide, especially for larger projects.

Remember that expired quotes can still be viewed but cannot be accepted by customers. You'll need to create a new quote with current pricing.

If a customer asks to extend an expired quote, create a new one instead of trying to modify the old quote - this ensures current pricing.
