How to Create Your First Invoice
This is the big one — your first professional invoice. Let's make it perfect.
Before You Start
Make sure you've set up:
- ✅ Your business profile (Settings → Business Info)
- ✅ At least one customer (Customers → Add Customer)
- ✅ Your license number, if required by your state
Step-by-Step
- Click Invoices in the sidebar
- Click New Invoice (or Create with WhatsApp AI to do it by text)
- Select a customer from the dropdown — or add a new one on the fly
- Add line items:
- Description: What you did (e.g., "Kitchen faucet replacement")
- Quantity: How many hours or units
- Rate: Your price per unit
- Click + Add Item for more lines
- Set the due date — when you expect payment
- Review the totals:
- Subtotal (before tax)
- Tax (auto-calculated by ZIP code)
- Total (what the customer pays)
- Click Save Draft to save without sending
- Click Send Invoice when ready
Sending Options
- Email — sends a professional email with PDF attached
- WhatsApp — shares via WhatsApp message
- Payment Link — copy and paste the Stripe payment link anywhere
After Sending
Your invoice moves from "Draft" to "Sent." You'll see:
- When the customer opens the email
- When they pay through the payment link
- The invoice auto-updates to "Paid" status
Common Mistakes
Don't forget the due date. Without one, there's no urgency for the customer to pay.
Double-check the customer email. A typo means they won't receive it.
Review line items carefully. Once sent, you'd need to cancel and re-send to make changes.
