Adding Notes and Terms to Your Invoice
Notes and payment terms communicate important information to customers and protect you legally. Here is how to add them.
Adding a Note to a Specific Invoice
When creating or editing an invoice:
- Scroll to the Notes section
- Type any information you want the customer to see
- Save
Common invoice notes:
- "Thank you for your business!"
- "Work completed as discussed on [date]. All materials installed per code."
- "50% deposit required before work begins on future projects."
Setting Default Notes (All Invoices)
To avoid typing the same note every time:
- Go to Settings → Invoices → Default Notes
- Enter your standard note
- Save — it appears on every invoice automatically
Payment Terms
Set when payment is expected:
- Go to Settings → Invoices → Payment Terms
- Choose: Due on Receipt, Net 15, Net 30, Net 45, Net 60
- Save
Net 30 is standard for residential work. Net 15 or due on receipt is better for cash flow. Commercial clients sometimes require Net 45 or 60.
Legal Notes and Lien Rights
For jobs requiring lien notice language (many US states), add the required language to your default notes. Go to the Lien Notice Checker tool to find the exact language for your state.
Scope of Work
For larger jobs, use the notes field to summarize what was completed. This creates a written record and prevents disputes about whether the work was done.
