How to Duplicate an Invoice
Sometimes you'll work the same job for different customers or need to bill similar services regularly. Instead of starting from scratch each time, you can duplicate an existing invoice and make quick changes. This saves you tons of time!
When to Duplicate an Invoice
Duplicating works great when you're doing repeat work like monthly maintenance, similar repair jobs, or working with the same materials and labor rates. You can copy the invoice structure and just update the customer details and dates.
How to Duplicate an Invoice
- Open your Dashboard and tap Invoices
- Find the invoice you want to copy from your invoice list
- Tap on the invoice to open it
- Look for the Duplicate button (usually appears as two overlapping squares or says "Copy")
- Tap Duplicate
- The app will create a new invoice with all the same line items, descriptions, and pricing
- Update the Customer name by tapping the customer field and selecting a different customer
- Change the Invoice Date to today's date
- Update the Due Date if needed
- Modify any line items, quantities, or descriptions that are different for this job
- Review everything looks correct
- Tap Save or Send to finish
Making Quick Edits
After duplicating, you can easily adjust:
- Customer information
- Job descriptions
- Quantities and hours
- Materials or parts used
- Any special notes or terms
The pricing and tax settings will stay the same, which keeps your rates consistent.
Common Mistakes
Don't forget to change the customer name! It's easy to accidentally send an invoice to the wrong person when duplicating.
Always update the dates. Using old dates can confuse your records and your customers.
Double-check quantities and descriptions. What worked for one job might not be exactly right for another.
