Converting a Quote to an Invoice
Once a customer accepts your quote, converting it to an invoice takes one tap. Here is how.
After Customer Accepts
When a customer accepts your quote, you receive a notification and the quote status changes to Accepted. Open the quote in Dashboard → Quotes to proceed.
Convert to Invoice
- Open the accepted quote
- Tap Convert to Invoice
- Review the invoice details (line items and amounts carry over automatically)
- Adjust the invoice date and due date
- Tap Save and Send
The invoice is created with the same line items as the quote, pre-populated. The quote is linked to the invoice in your records.
What Carries Over From the Quote
- All line items (descriptions, quantities, rates, amounts)
- Customer information
- Notes and scope of work
- Tax rate (recalculated based on ZIP code)
What You May Need to Update
- Invoice date — Update to the actual work completion date
- Additional charges — If the job grew beyond the quote scope, add line items
- Materials adjustment — If actual materials differed from the estimate
Quote vs Invoice in Your Records
After conversion:
- The quote remains in your records as Converted
- The invoice is created as a new record
- Both are linked — tapping either shows the connection
This complete paper trail is valuable if there is ever a dispute about what was agreed to vs what was charged.
